Title: Real Estate Paralegal

Location: Elyria, OH (in office with flexibility)

Salary target: $65-$75K (w benefits)

Key Responsibilities/Essential Job Functions

  • Contracts with tenants by negotiating leases and collecting security deposits.
  • Collects rent and other property fees from tenants and owners.
  • Assures timely payment of property expenses, including taxes, mortgages, insurance premiums and maintenance costs
  • Reports the property’s financial status, occupancy and expiring leases to property owners
  • Meets with potential tenants, showing the property and assessing their applications in accordance with anti-discrimination laws
  • Advertises vacant properties and hires a leasing agent to find tenants as needed.
  • Qualifies, chooses, manages, contracts and oversees a team of service providers such as landscaping companies, plumbers, electricians, HVAC technicians, trash removal, snow removal, security and other ongoing service providers and managing disputes with these service providers where appropriate.
  • Maintains building systems by contracting for maintenance services and supervising repairs.
  • Inspects properties and arranges for repairs and new materials as required.
  • Schedules routine maintenance, including but not limited to landscaping, mowing lawns, replacing roof tiles, changing air vents, HVAC maintenance, etc.
  • Investigates and resolves property complaints and rental violations.
  • Supports new property acquisitions, assisting with due diligence, property valuations, surveys, legal filings/requirements, document preparation, new land holding company generation, filings, and closings.
  • Provides assistance with evaluation, drafting, review and approval of administrative and property related agreements .
  • Gathers information, completes application(s) and submits proper documentation to the county auditor’s office to maintain Current Agricultural Use Value (CAUV) program compliance for the appropriate properties.
  • Updates and maintains database information on all properties.
  • Coordinates periodic updates and distribution of relevant information to individuals, departments, and property owners.
  • Assures corporate separateness principles are enforced between property holding companies and other related entities.
  • Coordinates, schedules, and executes short-term rental agreements for event-hosting properties . Assures facility is accessible, clean, and ready for event(s).  Inspects facility after use and issues any corrective action invoices per the rental agreement.
  • Supports review of contracts and may prepare drafts involving sales, services, leases, licenses, insurance, confidentiality and related matters. Focus is on conformity with established operating procedures and risk management/transfer.
  • Assists in identification and assessment of business risk and trends, recommendations to management.
  • Assist with coordination of legal issues (litigation, notifications, and responses) internally and externally including budgeting and maintenance of file systems. May assist in legal research as directed by management.
  • Assist with maintenance and annual filing of confidential company and personal history disclosure statements.
  • Supports approval process for vendor outlets. Duties include support in negotiating favorable contract terms and conditions within the Waste Services Agreement (WSA) guidelines, including proper vendor insurance requirements and documentation. 

Minimum Qualifications

  • Bachelor’s degree in real estate, business administration, public administration; and/or licensed by BOMI International, the Community Associations Institute, the Institute of Real Estate Management or another organization preferred.
  • Three or more years’ related experience in property/portfolio management, real estate and/or legal field.
  • Customer service and interpersonal skills needed to meet with prospective and current tenants, vendors and advisors.
  • Good verbal and written communication.
  • Attention to detail to ensure applications/documents are accurate and tenant issues or questions are adequately addressed.
  • Organization and the ability to multitask efficiently.
  • Strong problem-solving skills to find effective solutions for a variety of potential issues.
  • Knowledge of rental contracts and property and anti-discrimination laws.
  • Must be able to work some nights and weekends as the job demands.
  • Advanced capability in MS Word with good knowledge of other MS Windows based applications such as MS Excel, SharePoint and other company-specific applications.
  • Ability to work with minimum supervision and to set goals independently (meeting regulatory and business driven due dates).
